Job Description Summary
Position Responsibilities:
- Manages the FMLA leave administration process from the employee’s initial notice of the need for leave through return to work.
- Communicates and coordinates with employees throughout the process: their initial need for leave and/or modified work schedules, their responsibilities, documentation, and notice required to qualify for and to take leave, and necessary actions to facilitate smooth and timely return to work, including any necessary accommodations.
- Collaborates with appropriate HR and employee managers to designate leaves and determine if requests should be approved, based on eligibility and/or other requirements.
- Manages process to collect all necessary documentation, determine leave eligibility, distribute appropriate leave paperwork, identify leave as FMLA-qualifying, request medical certification as needed, and monitor for intermittent and reduced schedule leave use.
- Advises managers and employees on the interaction of leave laws with paid time off, short-term and long-term disability benefits.
- Facilitates communication between employees and their managers during leave as necessary and in compliance with respective leave laws.
- Oversees the return-to-work process for employees returning from extended FMLA, military leave, or other leave(s).
- Manages other leave requests, which may include accommodation requests or intermittent leave under the ADA.
- Manages coordination with disability provider to ensure proper administration of disability claims.
- Collaborates, educates, and informs key stakeholders regarding change management, training, and communications.
- Supports strategic efforts, such as automation, acquisitions, volume organizational changes, and technology solutioning - from ideation through management.
- Identifies trends and make recommendations for continuous process improvements to management. Provides critical thinking regarding absence management processes.
- Supports Manager, Leave Administration to provide guidance, coaching and training to LOA Specialists.
- Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
- Preserves confidentiality of employee medical documentation and files.
- Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
- Interprets federal and state laws as well as collective bargaining agreements in regard to absence management and various EEO policies
- Develops and conducts LOA related trainings for LOA Specialists and Field Management
- Ensures timely tracking of employee leave information in appropriate systems, such as Absentys (Leavelink) and Workday.
- Collects and compiles HR metrics and data from a variety of sources, including core human resource information system (Workday) and related modules, pay and time inputs and outputs, case management and telephony, surveys, interviews, employment records, government labor statistics, competitors’ practices, and other sources.
- Prepares monthly, quarterly, and yearly dashboard leave of absence reporting metrics and will participate in year-end activities.
- Analyzes data and statistics for trends and patterns with attention to leave of absence payroll processing and audits.
- Research best practices and emerging trends as well as metrics and analyses to recommend improvements for operational effectiveness and efficiency.
- Directs the maintenance of data records to ensure compliance with retention rules.
- Coordinates with Leave Manager and other leaders to support other priorities and activities as assigned.
Requirements:
Education & Experience:
- Bachelor’s Degree or equivalent experience plus 2-3 years of administering leave of absence or related experience.
- Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws
- Ability to process multiple requests and maintain the highest level of organization
- Strong follow-through skills and ability to resolve issues in a fast-paced environment
- Ability to communicate effectively and provide the highest level of service across all levels of the organization
- Excellent verbal and written communication skills
- Maintain highly confidential employee personal health information and files
- Ensure HIPAA compliance
- Experience with Workday preferred
Physical Demands:
Must be able to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods of time, loading and unloading heavy equipment, performing work in extreme weather conditions including rain, wind or excessive temperatures and/or night and weekend work. All duties must be performed according to Sunbelt’s safety policies and guidelines. Reasonable accommodations may be made to comply with ADA/ADAAA.

Base Pay Range: $56,606.00 - 77,832.70Starting rate of pay may vary based on factors including, but not limited to, position offered, location, education, training, and/or experience.
