Job Description Summary
The HR Administration & Compliance Manager is responsible for leading the HR Administration & Compliance team, which manages all administration and compliance efforts across HR in a centralized function. The manager serves as part of the HR Shared Services and HR Operations leadership team, and partners across HR to ensure administrative process and compliance excellence.
This role is the primary owner of pre-employment activities to include background checks, drug testing, and preparation to Day 1 for new hires. This role also oversees functions such as (but not limited to) Form I-9 compliance, all HR administrative compliance requirements state and federal), unemployment oversight, Work Opportunity Tax Credits (WOTC), contingent worker administration, tuition reimbursement administration and the vehicle reimbursement program.
He/she oversees the vendor partner relationships who enable our pre-employment and compliance needs and activities.
Position Responsibilities:
Serves as the organization’s HR administration and related compliance expert.
Leads the HR Administration (including pre-employment) & Compliance function, including oversight of process improvements and standards to ensure process excellence, high levels of compliance and excellent service delivery.
Oversee HR administration vendors, ensure performance expectations are met through regular business reviews, and invoices and budgeting are aligned as expected. Establish and ensure achievement of vendor key performance indicators (KPI).
HR Administration and Compliance team leadership including performance management, goal setting and career development activities.
Oversees the Form I-9 compliance for Sunbelt Rentals and act as program administrator. Responsible for process excellence related to the I-9 program.
Oversee and ensure HR administrative processes are streamlined and effective to include control reporting to detect process breakdowns.
Lead continuous improvement efforts of the whole HR Administration and Compliance function.
Provide oversight to employ the ServiceNow system is a way that ensures process excellence and maximizes the ServiceNow administration module, as needed.
Serve as key resource for providing Workday standards and requests related to HR administration and compliance needs.
Establish a “service recovery” tracking and remediation process in the event a process fails, to ensure a holistic approach to correction – including system corrections or enhancements, full people impact collection and corrective actions as necessary.
Ensure “knowledge articles” and standard operating processes (SOP’s) are created for use by the HR administration and compliance team, HR, managers and the organization.
Serve as escalation point for HR Administration and Compliance team issues.
Partner with HR business partners and other key HR groups to gather and incorporate input into the service delivery model and any further enhancements.
Participate in initiatives and projects as required. Other duties as assigned
Requirements:
Education & Experience:
Bachelor’s degree Human Resources, Business or equivalent experience
Minimum 5-8 years’ experience in management of a HR Administration and/or Compliance HR Shared Services or HR Operations Team
Minimum 3+ years in working in Workday, ServiceNow and other HR technology solutions
Experience managing Form I-9 compliance
Experience leading teams in high-paced environment
Continuous process improvement experience; demonstrated problem-solving ability
Blend of strategic and tactical thinking, creative and analytic reasoning
Ability to guide matrixed partner teams as well as collaborate across the organization for desired outcomes
Excellent interpersonal and relationship management skills
Ability to communicate, coach and influence internal and external stakeholders
Ability to work in a fast-paced and changing environment
Strong follow-through skills and ability to resolve issues promptly
Excellent verbal and written communication skills
Ability to maintain highly confidential employee information
Comfortable working with tight deadlines
Physical Demands:
Must be able to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods of time, loading and unloading heavy equipment, performing work in extreme weather conditions including rain, wind, or excessive temperatures and/or night and weekend work. Base Pay Range: $86,329.00 - 118,702.10Starting rate of pay may vary based on factors including, but not limited to, position offered, location, education, training, and/or experience.
